Academy Assistant Key Roles and Responsibilities

Term: Fixed term full time apprenticeship (18 months), with permanent opportunity post-apprenticeship

Location: Castlefield, Manchester (some work from home flexibility)
The Juice Academy is a not-for-profit digital marketing programme, delivering the Level 3 Junior Content Producer apprenticeship qualification. The Academy was the brainchild of award-winning communications agency, Tangerine Communications, and all tutors are digital/creative specialists from Tangerine, or expert guest speakers from a wide range of specialisms.
Businesses get the opportunity to invest in budding talent across the Nation, in particular the North West, and aspiring digital marketers have a chance to work with businesses from all different sectors. We’ve placed apprentices in some of the North West’s biggest brands including Social Chain, Rental Cars, UNILAD, JW Lees, Greater Manchester Police, Pretty Little Thing and Manchester Airport. In 2013, The Juice Academy was the first industry-led social media apprenticeship in the UK and has now trained over 400 apprentices and worked with more than 350 employers.
Our passion is creating quality roles for young people in our brilliant sector – digital marketing – and the person who joins us in this role will play a vital part in changing lives and helping fill the huge digital skills gap.
Job Responsibilities
Recruitment and Applications
The Academy Assistant will manage and organise the recruitment and application of apprentice candidates. This includes recruitment outreach; building and maintaining relationships with candidate sources and regularly contacting them about our current opportunities. Sources include Schools, Colleges, careers advisors, Universities, job centres, youth organisations etc. This also includes liaising with the National Apprenticeship Service and our partner training provider, Apprentify, to help recruit candidates.
They will be responsible for processing and managing apprentice applications which includes:
· Using our CRM system (training provided)
· Communication regularly with candidates (including successful/unsuccessful emails)
· Inviting candidates to take online assessments and keeping track of their progress and updating records using Microsoft Excel and Google Sheets
· Supporting candidates with their applications and running workshops for them
· Managing video applications through WhatsApp (company phone provided)
· Managing applications and sending to potential employers
Key Areas of Competence
Administration
Excellent personal administration including Microsoft excel, word, Google documents/sheets, CRM systems and task lists. Maintaining and keeping up to date the admin for the Academy in The Juice Academy digital folders. Ensuring all files (paper and digital) are well organised.
Organisation, Communication and Planning
This individual should be highly organised, implementing effective systems and strategies to ensure the effective communication with candidates and Academy team, as well as maintaining a real time, accurate list of potential apprentices/recruitment & candidate sources.
They should assist the Academy Co-ordinator to plan and manage events including: Academy social events, recruitment days, open evenings, boot camps and graduations (and the remote/online versions of these).
They should be a good communicator and effective at managing multiple tasks. This includes communicating with the team, the applicants, potential and current recruitment sources and occasionally Academy tutors.
Developing client liaison skills by learning about recruitment/candidate sources, the employers and dealing with taking phone messages, using judgement on urgency and passing on efficient messages.
The Juice Academy is a small, not for profit team and therefore we often have to be flexible and support each other with responsibilities that include:
Academy Maintenance, Team office environment
Assisting the Academy Co-ordinator by looking after the day-to-day Academy, apprentices and sessions (currently remote/online). Helping to keep records, registrations and feedback up to date and co-ordinating workshop days including agendas.
Team Work
Work as an effective part of our team with excellent internal communication skills upwards, downwards and sideways and generally assisting other team members – especially during busy times – along with a commitment to team/company goals. Contribute to the wider success of The Academy and Tangerine as a whole. This will include attending and contributing to team and staff meetings, away days and social events. They must live the company values and generally set a good impression to other members of staff.

We encourage employees to actively seek out useful networking opportunities, attend seminars (online/face to face when possible) to broaden their knowledge in key areas and identify other ways they can further The Juice Academy/Tangerine’s reputation externally – eg. creating speaking opportunities for team members (and possibly to do personally eventually) etc. The ultimate aim is raising awareness of the brand and securing expressions of interest.
